Moderator Instructions

  •  Review the scientific program, your assigned session and the list of speakers.
  •  The most up-to-date program is available on the conference website.
  •  Be familiar with the session format, timing and whether audience questions are allowed.
  •  Arrive at the session hall at least 10 minutes early.
  •  Confirm speaker order and timing with the audiovisual (AV) team.
  •  Welcome the audience and ask attendees to take their seats.
  •  Introduce yourself and your co-moderator, including names and affiliations.
  •  Announce the session title.
  •  Inform the audience how and when questions may be asked (microphone use and timing).

As the moderator, you are responsible for time management and session flow:

  •  Introduce each speaker and presentation title exactly as listed in the final program.
  •  Ensure speakers use the microphone and speak clearly.
  •  If a speaker is speaking too quickly or is unclear, politely ask them to slow down.
  •  Keep speakers strictly within their allocated time.
  •  Provide a two-minute warning to help speakers conclude on time.
  •  Politely interrupt speakers who exceed their time limit.
  •  Ensure sessions start and end on time so attendees can move between halls as scheduled.
  •  Follow the session structure exactly as outlined in the program.
  •  Do not allow questions after each talk unless clearly indicated.
  •  Some sessions do not allow questions at all please enforce this.
  •  If a panel discussion is included, encourage brief and focused questions.
  •  Attendees with questions should use the floor microphones and state their name.
  •  If a question is long or unclear, summarize it or ask the audience member to clarify.
  •  If there is a scheduled break after your session, end promptly. Break times are intended for networking and refreshments and should not be extended.
  •  Report any audiovisual or technical issues immediately to the in-hall AV technician.
  •  If a speaker does not attend, proceed to the next scheduled speaker.
  •  If the session finishes early, invite questions and facilitate discussion with the audience.
  •  Thank the speakers for their presentations.
  •  Thank the audience for their participation.
  •  Close the session on time.
